Despite the fact that many expected remote and hybrid working to diminish after the pandemic, it’s still very much on the rise. Part of that may be to do with the cost-saving benefits of remote teams and the fact that flexible working conditions help attract talent, but the positive impact hybrid approaches have had on productivity may be the biggest driver of this trend. According to the US Bureau of Labor Statistics, as remote work has increased, so too has productivity in many industries.

That’s not to say that this shift hasn’t been without its challenges. Basic tasks like tracking documents and controlling access have become trickier and document management, in general, more important than ever. Effective document management ultimately affects the safety and speed of information exchange and, as a result, how efficiently work is performed in dispersed teams.

Here are some key strategies that leaders can invest in to ensure that effective document management systems in their remote and hybrid teams:

  • Cloud Storage: Transitioning to cloud storage and cloud-based systems can make documents much more easily accessible when teams are dispersed.
  • Clear, Actionable Protocols: Getting the most out of things like cloud storage, however, requires that there be clear protocols that people know to follow with documents such as where on the cloud certain things need to be filed, who needs to be notified when alterations are made, etc.
  • Training: Training is particularly critical, as studies show that human error is responsible for 88% of all cybersecurity breaches. This is vital for ensuring that things like protocols are applied properly and that everyone on a team, no matter where they are, feels confident in using the document management system.
  • Invest in Security: Robust security and access management controls are one of the most strategically important things that leaders can invest in. It’s what protects documents from unauthorized access and ensures compliance.

Future Trends in Document Management and Remote Work

Document management tools that prioritize collaboration are set to be one of the biggest trends when it comes to remote work. A big reason why is that as work goes remote, old hierarchies are easing, and teams will likely adjust to more collaborative flows of document management that rely on project-defined chains of command, rather than company-wide ones. Work structures are getting more flexible, and technology is helping to spur that change forward.

Data-driven document solutions are also on the rise, and more intricate security systems. Remote work, already expected to grow in 2025, is expected to help drive these updates in document management even further.
